The date of posting of the LoI, date of receipt of the Laurel packet, or other factors may delay consideration of certain letters of intent. Additionally, some letters of intent received may not have been scheduled because the administrative requirements (receipt of the forms packet, receipt of the necessary fees, et cetera) have not yet been met._ REMINDER: Until all administrative requirements are met, the letter may not be scheduled. **** From Laurel: Submissions Fees Changing **** Greetings Unto the College of Arms! Effective as of the October Letters of Intent, we will be increasing the Laurel submissions fees by 1 dollar to $4 USD. This increase is intended to cover the additional server storage space we will incur as a result of the completion of the archive project. Up to this point, the Sovereigns and certain Laurel staff have been keeping current data by either mailing hard disks, or meeting up in physical locations to transfer data. With the increasing size of the archives, this has become impractical. Pending approval from the Board of Directors we will have increased storage space on SCA.org which will allow us to place the archives on the server for secured access to those who have need. Additionally, a long term project is planned to redact each emblazon from its form so that heralds and submitters can have on-demand access to registered emblazons without having to await a redaction. The College of Arms spends its finances through expenses related to submissions processing, staff and sovereign travel, equipment purchases, and miscellaneous office related costs. Laurel or the Laurel Exchequer can always provide a break-down of expenses upon request to any member. There has been a great deal of conversation on social media outlets about 'Where does the money go?' Staff will be working to be more transparent about this. Some of you will already be aware, but many will not, that the College of Arms routinely experiences a net loss at the end of every year. Some years the loss is small, some large. Often we have a net loss of about $1000-$2000 USD. With the ever increasing cost of travel, and the upcoming additional storage space costs, we cannot continue to charge the current $3 processing fee and remain at the current level of net loss. It is the desire of the Sovereigns and Staff to continue to serve the Society in the best way possible and to be able to continue to put a Sovereign or staff member in any kingdom as required or requested. Without the fee increase it will become increasingly difficult to do so. Principal Heralds have already been informed of the increase and may increase or keep their current fee structure according to the needs of their individual colleges. Over the course of the history of the CoA, the processing fee has fluctuated back and forth between 3 and 4 dollars as the needs of the College dictated. We will be available for any questions on the matter and hope to have more good news about the archives as the project finishes its final stages. **** From Laurel: KWHSS 2017 Announced! **** In Court and at the Roadshow for KWHSS 2016, Laurel announced that the 2017 Known World Heraldic & Scribal Symposium would be held in the Kingdom of Meridies, in the Barony of Thor's Mountain (Knoxville, TN) in conjunction with the Shire of Nant-Y-Derwyddon on June 23-25, 2017. **** From Wreath: Color Form in OSCAR **** This month a submission was returned for using a photograph of the submitted design for the mini-emblazons in OSCAR. The Administrative Handbook states "The colored copy must be a scan of the original." To keep up with the progress of technology, we want to make clear that images don't really need to come from a scanner, but they must be an unaltered digital representation of the actual paperwork, created by optical imaging. **** From Wreath: A Short Note about Documentation **** A submission came this month for which the only "documentation" given on the Letter of Intent was a link to a Facebook discussion. This is not appropriate. Documentation in armory also should be summarized with a description of the information and its source. Had the commenters not provided actual documentation, the submitted device would have been returned. **** Society Pages **** On May 1, 2016, in court at KWHSS 2016 in the Kingdom of Artemisia, Andrewe Laurel did elevate Ren{e'}e de la Pommeraie to the rank of Herald Extraordinary and charged her with choosing a personal heraldic title. Renee has been instrumental in finishing the scans of the paper archives. While the rest of us were attending KWHSS, Kameshima Zentarou Umakai, Silver Buccle Herald, and his wife Isabel Fleuretan welcomed our newest herald Juliet. Please send information about happenings to major heralds and major happenings to all heralds to Laurel, so that it can be published here. **** Send What to Whom **** Letters of Intent, Comment, Response, Correction, et cetera are to be posted to the OSCAR online system. No paper copies need be sent. All submission forms plus documentation, including petitions, must be posted to the OSCAR online system. While black-and-white emblazons must be included in the Letter of Intent, only colored armory forms need to be posted in the forms area. Cheques or money orders for submissions, payable to "SCA Inc.-College of Arms" are to be sent to Stephanie Ray-Solum, Blue Bug Bookkeeping, 2144 Westlake Ave. North Suite F Seattle, WA 98109.
